First-time patients complete a full clinical registration in under 3 minutes at the kiosk — demographics, insurance, allergies, medications, and consent — with zero staff involvement. Returning patients check in in 45 seconds.
New patient registration is the most time-consuming arrival type. Paper new-patient forms take 10–15 minutes and are frequently incomplete. A self-registration kiosk captures the same data with 100% completion rate in under 3 minutes because it validates mandatory fields at entry.
Step-by-step guided registration captures demographics, IC/passport, insurance, emergency contact, allergy list, current medications, and treatment consent. Mandatory field enforcement means no incomplete records.
Known patients enter IC number or tap NFC. All known data pre-fills. They confirm or update in 3–4 steps and receive their queue ticket in 45 seconds.
Parent or guardian registers a child or dependent by entering their own IC and the child's details. The relationship is captured in the FHIR Patient resource. Parent consent links to all child encounters.
Corporate panel clinic setups batch-register employee groups. Employees arrive, scan their staff ID, and complete personal details in under 60 seconds because their employer data is pre-loaded.
Real-time duplicate check against existing records by IC number, passport number, and phone. Matched records are linked rather than duplicated. Staff alerted to any near-duplicates for manual review.
MOH Malaysia registration requirements, JCI minimum dataset, and NABH registration fields configurable per deployment. Regulatory forms auto-populated from ID chip data where field overlap exists.
New patient registration time: 15 minutes (paper) → 3 minutes (kiosk)
Registration completeness: ~75% (paper) → 100% (kiosk, mandatory fields enforced)
Duplicate patient record rate below 0.1%
Returning patient check-in: 8 minutes (front desk) → 45 seconds (kiosk)
Patient self registration creates FHIR R4 Patient, RelatedPerson, Consent, and Coverage resources in a single atomic transaction. If any resource creation fails, the entire transaction rolls back — partial registrations never land in the EMR. The kiosk shows a temporary local confirmation while the server transaction completes; if the server is unreachable, the registration is queued locally and committed when connectivity returns.
The kiosk accepts name + date of birth + address as an alternative identifier for identity lookup. NFC card read is always the fastest and most accurate path.
Minors must be registered by a parent or guardian. The kiosk captures the guardian's IC and the parent-child relationship. Guardian consent is legally attributed to the guardian's verified identity.
Yes. The form engine is fully configurable. Standard fields are pre-populated per clinic type; custom fields can be added without engineering involvement via the clinic admin dashboard.
Partial registration data is cleared after 90 seconds of inactivity. No incomplete records are created in the EMR. The patient can restart from scratch at any time.
Yes. MOVO-X registration forms capture all fields required by the Private Healthcare Facilities and Services Act 1998 (Act 586). MOH audit support documentation is available on request.
